Lower monthly licence costs
A review of subscriptions and staff requirements uncovered $867.30 in monthly savings.
The client managed its own Microsoft 365 licences and had bought more Enterprise E3 licensing than it needed. After a merger, users moved to a new environment with Business Premium licences. The old E3 subscriptions continued to be billed as well.
Management knew money was being wasted, but was unsure what staff still depended on. It had deferred cancelling the old subscriptions and asked AulTECH to determine what could safely change.
AulTECH reviewed both sets of subscriptions against how staff actually worked. The old E3 subscriptions could be cancelled after resolving the remaining sign-in dependencies.
There were savings in the new environment too. Staff were not using the additional Business Premium features, so their licences could be matched to their actual needs. Management also reviewed which mailboxes could become shared mailboxes and which should remain regular accounts.
With management’s agreement, AulTECH made the changes in stages. Desktop application users moved to Business Standard, an email-only account moved to Exchange Online Plan 1, and approved mailboxes became shared mailboxes.
AulTECH cleaned up old accounts in Office and replaced one Windows profile that still depended on the old environment. Once those dependencies were resolved, the old licences and accounts were removed and the subscription cancelled.

A licence review checks what your business is paying for against what staff actually need. If you manage your own subscriptions or have been through a merger, it can help you identify unnecessary spending and understand what can safely change.
